1. The service
SnapBooks provides tools for receipt extraction, expense records, bank transaction organization, mileage records, reports and exports (including a year-end tax pack and supporting expense records), and related bookkeeping workflows. Features may differ between the mobile app, website, guest mode, account plans, and regions. Some features are available only on the mobile app, such as GPS-based mileage tracking, Android bank-notification capture, and supporting expense records. SnapBooks is an organizational tool and is not accounting, tax, legal, or financial advice.
2. Accounts and eligibility
You must be legally able to enter into these Terms and provide accurate account information. You are responsible for activity under your account and for protecting your credentials. Tell us promptly if you believe your account has been compromised. We may reject, suspend, or close accounts used fraudulently or in violation of these Terms.
3. Guest access and scan allowances
You may try receipt extraction without an account. Guest access includes a lifetime allowance of recognized receipt scans for the browser identifier used by the service. Free accounts receive a monthly scan allowance that resets each month; Pro subscribers receive unlimited scans. Unrecognized files are not intended to consume a scan. Allowances have no cash value, are not transferable, and may not be refreshed or bypassed by manipulating identifiers, requests, or service controls. We may adjust or withdraw guest access and allowance amounts to prevent abuse or reflect plan changes. An account is required to save records in a private bookkeeping workspace and use account-only features.
4. Receipt files and AI-generated results
Receipt images and PDFs are transmitted securely to our backend and external AI providers for extraction. Results can be incomplete, inaccurate, duplicated, or incorrectly categorized. You must review merchant names, dates, currencies, tax amounts, totals, categories, line items, rates, and reports before relying on them. You remain responsible for your records, filings, payments, and business decisions.
5. Acceptable use
Do not use SnapBooks to violate law or third-party rights; upload malicious, unlawful, or unauthorized content; probe or disrupt security; reverse engineer protected service components; automate abusive traffic; evade quotas; impersonate another person; or access records you do not own. You must have the right to submit every file and record you provide.
6. Your content
You retain ownership of your receipt files and financial records. You grant SnapBooks and its service providers a limited license to host, transmit, process, reproduce, and format that content only as necessary to operate, secure, support, and improve the service. Do not submit information that is unnecessary for expense tracking, including passwords, full payment-card details, or government identity documents.
7. Plans, credits, and payments
SnapBooks offers a free tier and two paid tiers: Pro, for an individual account, and Team, which adds shared team workspaces on top of everything in Pro. The free tier includes a monthly scan allowance that resets each month and retains receipts for up to 90 days; the paid tiers provide unlimited scans, keep receipts for as long as your account is active, plus other paid-only features. Paid plans may include a free trial (currently 7 days). Unless you cancel before the trial ends, the trial automatically converts to a paid subscription and your payment method is charged; a free trial is generally available only once per user per plan and may not be offered in every region or store. Web subscriptions are sold and processed by Paddle, which acts as our authorized reseller and merchant of record for those purchases; mobile subscriptions are sold through the Apple App Store or Google Play and managed with RevenueCat. Prices, taxes, billing periods, renewal terms, cancellation rights, and refunds are shown at purchase and are governed by the applicable provider — Paddle for web purchases, or the relevant app store for mobile purchases. Subscriptions renew automatically until cancelled; you may cancel at any time and keep access through the end of the current billing period. Unless required by law, unused credits are not redeemable for cash or transferable.
8. Location and device permissions
Optional mobile features require device permissions that you control. GPS-based mileage tracking uses your location, including background location when you enable automatic trip detection, to record work trips and estimate mileage deductions. On Android, optional bank auto-capture requires Notification access to read transaction alerts from apps you allow. These permissions are used only for the stated features, are off unless you enable them, and can be revoked at any time in your device settings. See the Privacy Policy for details on the data involved.
9. Connected accounting services
If you connect SnapBooks to QuickBooks Online or another accounting service, you authorize SnapBooks to exchange the information needed to provide the integration. Depending on the features you use, this may include company details, accounts, vendors, categories, purchases, expenses, transaction identifiers, and receipt attachments. SnapBooks may create or update accounting records at your direction, in bulk, or through an auto-sync setting you enable. You are responsible for reviewing synchronized records for accuracy. You may disconnect a service at any time; disconnecting stops future access but does not automatically remove records already created in that service.
10. Third-party services
SnapBooks depends on services such as Intuit QuickBooks Online, Firebase, Vercel, Cloudflare, AI providers, Paddle (web subscription billing / merchant of record), RevenueCat, and the mobile app stores. Their terms and privacy practices may apply to their processing. QuickBooks Online is provided by Intuit Inc.; SnapBooks is an independent service and is not endorsed or sponsored by Intuit. We are not responsible for third-party services outside our control, though we select and configure providers to support the service.
11. Disclaimers
To the maximum extent permitted by law, SnapBooks is provided on an 'as is' and 'as available' basis. We do not warrant uninterrupted availability, perfect security, error-free extraction, legal compliance for your circumstances, or preservation of every record. Keep independent copies of records you are required to retain.
12. Limitation of liability
To the maximum extent permitted by law, SnapBooks and its operators will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages; lost profits, revenue, data, or tax benefits; or losses caused by AI errors or reliance on extracted data. Nothing in these Terms excludes liability that cannot legally be excluded.
13. Suspension, termination, and changes
You may stop using SnapBooks at any time. We may suspend access to protect users, enforce these Terms, comply with law, or maintain service integrity. We may update the service or these Terms. Material changes will be posted with a new updated date. Continued use after changes take effect means you accept the revised Terms.
14. Team and shared workspaces
SnapBooks may offer team workspaces that let multiple users share a common pool of expenses and receipts, subject to a per-workspace member limit (currently up to 10 members). If you create a team workspace, you are responsible for the members you invite and for ensuring you have the right to share any data you add to it. A member's access is governed by their assigned role (owner, admin, member, or viewer). Members may submit expenses for approval; owners and admins may invite or remove members, change roles, approve or reject submitted expenses, transfer ownership, and delete the workspace, and these actions are recorded in a workspace activity log visible to owners and admins. Members may receive in-app notifications about actions that affect them, such as approvals or role changes. Deleting a workspace or removing a member is permanent and may cause loss of access to shared data. Any paid plan applied to a team workspace, and the entitlements it grants to members, is managed by the workspace owner; if that plan lapses, the workspace may become read-only until it is renewed. You must not use a shared workspace to store or distribute unlawful content, or another person's data without their authorisation. Data you contribute to a shared workspace may remain accessible to its other members after you leave.
15. Supporting expense records
SnapBooks can generate a supporting expense record: a document you create from an expense already held in SnapBooks, for cases where the original merchant receipt is missing, incomplete, or illegible. A supporting expense record is your own record of a claimed expense. It is not a receipt, invoice, or other document issued, approved, or verified by the merchant, and SnapBooks does not verify that a purchase took place or that the details are correct. Every generated document is labelled as not merchant-issued and identifies which values you supplied or corrected rather than taking them from your saved record; before generating one you must confirm that you understand it is not a merchant-issued receipt. Generating a record never alters, replaces, or deletes the source scan attached to the expense, which is kept and referenced separately. Tax authorities, auditors, employers, insurers, and other third parties apply their own rules of evidence and may reject a document that is not merchant-issued; you are responsible for checking the requirements that apply to you, for the accuracy of what you enter, and for how you use each document you generate. Presenting a supporting expense record for a purchase that did not occur, or with details you know to be false, is a breach of these Terms. This feature is currently available on the SnapBooks mobile app.
